August 10, 2023 _____________________________________________________________________ Position Summary The Office & Finance Manager is responsible for the day-to-day financial operation of the company that includes cash management, accounts receivable and payable, general ledger accounting, all financial reporting and payroll processing.
Additionally, this position is responsible for all Human Resources administrative duties e.
g.
, new hire on-boarding, policy updates and any HR updates.
This position also manages all state & federal government reporting and insurance activity.

Responsible for monthly reconciliation of all detail general ledger accounts:
accounts receivable, accounts payable, inventory accounts and cash management.
Prepare detailed reporting and analysis of all revenue and expenditures.
Reconciles bank statement and deposits for all accounts.
Represent company as the primary liaison with banks, state agencies, and vendor representatives as needed.
Handle all insurance claims, workers' compensation and general liability.
Meet with insurance auditor to ensure all sub-contractor insurance and licensing is on file and current and that all employee salaries are posted to correct workers' compensation codes.
Prepare and process weekly company payroll.
Ensure all tax information is filed appropriately and paid timely.
Coordinate all Human Resource administrative activities to include, but not limited to, hiring and on-boarding procedures, tracking probation period dates, employee handbook and policy application and provide general HR oversight.
Work with the production department to create digital entry and tracking of customer database, coordinate timely follow-up of invoices upon job completion.
Meet annually with safety inspector to review and correct any and all workplace safety violations/hazards.
Assist with general administrative duties such as:
answering phones, sorting and distributing mail, scheduling sales appointments, order office supplies as needed.
Routinely handle confidential information and explains policies as needed.
Sales Commission management - maintain tracking spreadsheet on a daily basis.

Required Education and Experience High School diploma required Three (3) to five (5) years administrative experience Three (3) to five (5) years related accounting and financial management experience Advanced bookkeeping experience and advanced Quickbooks experience of at least 3-5 years Preferred Education and Experience College Degree or equivalent work experience Knowledge of Human Resources policies and procedures Working knowledge of the construction industry is a positive Work Environment Job operates in a professional office environment.
